Managing Links

Links are the foundation of LinkAce. This guide covers everything you need to know about adding, organizing, viewing, and managing your bookmarks.


LinkAce offers multiple ways to save links, from quick one-click bookmarking to detailed manual entry.

Quick Add (Dashboard)

The fastest way to save a link:

  1. Navigate to the Dashboard
  2. Enter the URL in the “Quick Add” form
  3. Click “Add Link”

LinkAce will automatically:

  • Fetch the page title and description
  • Suggest tags based on page metadata
  • Apply your default visibility setting
  • Schedule Wayback Machine archiving
  • Queue the link for health checks

Full Add Form (Menu Bar)

For more control over link details:

  1. Click “Add Link” in the menu bar
  2. Fill in the form:

  1. Optional: Check “Continue Adding” to stay on the form after saving (useful for bulk imports)

  2. Click “Save Link”

Tag Suggestions

After entering a URL, LinkAce may display tag suggestions extracted from the page’s meta keywords. Click any suggestion to add it as a tag.

Using the Bookmarklet

Save links from any browser with one click:

  1. Install the bookmarklet: See Post-Installation
  2. Navigate to a page you want to save
  3. Click the bookmarklet in your bookmarks bar
  4. Review and edit the pre-filled form
  5. Click “Save”

The bookmarklet works on any page and respects your login session.

Importing from HTML

Import bookmarks in bulk from browser exports:

  1. Export bookmarks from your browser (Chrome, Firefox, Safari) to HTML
  2. Navigate to Import (username dropdown → Import)
  3. Upload the HTML file
  4. Choose import options:
    • Skip automatic title/description generation
    • Skip link health checks
    • Set default visibility
  5. Click “Import”

LinkAce will process the import in the background and add a unique tag (e.g., import-2024-01-15) to all imported links for easy identification.

LinkAce offers three display modes for browsing your links.

Display Modes

Switch between modes using the icons at the top-right of the link list:

1. Compact List

Minimal view showing:

  • URL and title
  • Tags
  • Quick actions (edit, delete)

Best for: Scanning many links quickly

2. Detailed List

Expanded view showing:

  • URL, title, and description
  • Tags and lists
  • Thumbnail (if available)
  • Creation date and author
  • Quick actions

Best for: Browsing with context

3. Card View

Visual grid showing:

  • Large thumbnail
  • Title and description
  • Tags
  • Quick actions

Best for: Visual browsing, portfolios, image-heavy collections

Card view

Sort links by:

  • Creation date (newest or oldest first)
  • Title (A-Z or Z-A)
  • URL (A-Z or Z-A)

Use the dropdown at the top of the link list to change sorting.


Click any link title to view its detail page.

Link details page

Information Displayed

  • URL: The full link (clickable)
  • Title and Description: Editable
  • Thumbnail: Auto-generated screenshot (if available)
  • Lists and Tags: All assigned categories
  • Visibility: Public, Internal, or Private
  • Author: Who created the link
  • Dates: Created and last updated timestamps
  • Health Status: OK, Moved, or Broken (if checks are enabled)
  • Wayback Machine: Link to archived versions

Actions

  • Edit: Modify link details, lists, tags, or visibility
  • Delete: Move to trash (can be restored later)
  • Enable/Disable Checks: Turn off health checks for problematic sites (e.g., Cloudflare captchas)
  • Share: Use configured sharing services (Twitter, Facebook, LinkedIn, etc.)

Add context, annotations, or reminders to individual links:

  1. Scroll to the Notes section on the link detail page
  2. Click “Add Note”
  3. Enter your note (supports Markdown)
  4. Set visibility: Private (only you) or shared (visible to others who can see the link)
  5. Click “Save”

Use cases:

  • “Read this before the team meeting on Friday”
  • “Alternative source: [link]”
  • “Key takeaway: Always validate user input”

Change History

The Change History section at the bottom shows:

  • What changed (title, description, tags, lists, etc.)
  • Previous value
  • Timestamp
  • Who made the change

Useful for tracking edits in multi-user environments.


  1. Navigate to the link (detail page or list view)
  2. Click “Edit”
  3. Modify any field: URL, title, description, lists, tags, visibility
  4. Click “Save”

Bulk Editing

Edit multiple links at once:

  1. Navigate to the link list
  2. Select links:
    • Check the box next to each link, or
    • Click “Select all” to select all visible links
  3. Click “Edit” at the top
  4. Choose what to change:
    • Add Tags: Add tags to all selected links (existing tags are preserved)
    • Remove Tags: Remove specific tags from all selected links
    • Set Tags: Replace all tags with a new set
    • Add Lists: Add lists to all selected links
    • Remove Lists: Remove specific lists from all selected links
    • Set Lists: Replace all lists with a new set
    • Change Visibility: Set all selected links to Public, Internal, or Private
    • Delete: Move all selected links to trash
  5. Click “Apply”

Important: Fields left unchanged will remain as they are. Only the fields you modify will be updated.

Using Lists

Lists are broad collections or categories. Think of them as folders.

Examples:

  • “Web Development Tools”
  • “Recipes to Try”
  • “2024 Research”
  • “Team Resources”

How to add a link to a list:

  1. Edit the link
  2. Start typing in the “Lists” field
  3. Select an existing list or press Enter to create a new one
  4. Save

Using Tags

Tags are flexible labels that describe different aspects of a link. A link can have many tags.

Examples:

  • javascript, react, tutorial
  • vegan, quick, dinner
  • work, reference, to-read

How to add tags to a link:

  1. Edit the link
  2. Start typing in the “Tags” field
  3. Select an existing tag or press Enter to create a new one
  4. Save

  1. Navigate to the link (detail page or list view)
  2. Click “Delete”
  3. Confirm

The link is moved to Trash and can be restored within 30 days (configurable).

Bulk Delete

  1. Select multiple links (see Bulk Editing above)
  2. Click “Edit” at the top
  3. Choose “Delete”
  4. Confirm

All selected links are moved to Trash.

Restoring from Trash

  1. Navigate to Trash (username dropdown → Trash)
  2. Find the link you want to restore
  3. Click “Restore”

The link is restored to its original location with all tags, lists, and notes intact.

Permanent Deletion

Links in Trash are automatically deleted after 30 days (configurable in System Settings). To delete immediately:

  1. Navigate to Trash
  2. Click “Delete Permanently”
  3. Confirm (this cannot be undone)

Wayback Machine Archiving

When you save an HTTP(S) link, LinkAce automatically:

  1. Notifies the Wayback Machine (archive.org)
  2. Schedules archiving (may take minutes to hours)
  3. Displays the archive link on the link detail page

If the original link goes offline, you can access the archived version.

Requirements:

  • Cron job must be configured
  • Some sites block archiving via robots.txt

Health Checks

LinkAce regularly checks if your links are still accessible.

Check statuses:

  • OK: Link is accessible
  • Moved: Link redirected (301/302)
  • Broken: Link returned an error (404, 500, timeout)

Notifications:

  • Email alerts for broken links (configurable)
  • Dashboard notifications

Disabling checks for a link:

  1. Open the link detail page
  2. Click “Disable Check”
  3. Useful for sites with captchas or rate limiting

Lists and Tags have an “Open All” feature to open all links in new browser tabs.

How to use:

  1. Navigate to a List or Tag page
  2. Click “Open All Links”
  3. Allow popups when prompted by your browser

Requirements:

  • Configure your browser to allow popups for your LinkAce domain
  • Chrome: Settings → Privacy and security → Site Settings → Pop-ups and redirects
  • Firefox: Settings → Privacy & Security → Permissions → Block pop-up windows (add exception)

Visibility Settings

Control who can see a link:

  • Public: Anyone with access to your LinkAce (including Guests if enabled)
  • Internal: Only logged-in users
  • Private: Only you

Change visibility by editing the link.

Share Buttons

If enabled in User Settings, share buttons appear on the link detail page:

  • Twitter (X)
  • Facebook
  • LinkedIn
  • Reddit
  • Bluesky
  • Email

Click any button to share the link on that platform.

RSS Feeds

Links can be shared via RSS feeds:

  • Public links: Available via public RSS feeds
  • Internal/Private links: Available via authenticated RSS feeds

Advanced Workflows

Workflow: Research Collection

  1. Create a list: “2024 Research Project”
  2. Add links via bookmarklet as you browse
  3. Tag each link with keywords: primary-source, methodology, case-study
  4. Add notes with key takeaways or citations
  5. Set visibility to Private while researching, then change to Internal when ready to share

Workflow: Team Resource Library

  1. Create lists by topic: “Onboarding”, “Design Resources”, “Engineering Docs”
  2. Set lists to Internal (visible to all team members)
  3. Invite team members via User Management
  4. Enable SSO for easy login
  5. Use tags for cross-cutting concerns: urgent, reference, tutorial

Workflow: Public Bookmark Collection

  1. Create a list: “Best Web Development Tools”
  2. Set list to Public
  3. Enable Guest Mode in System Settings
  4. Add links with detailed descriptions
  5. Share the list URL or RSS feed with your audience

Troubleshooting

  • Check URL format: Must be a valid URI
  • Check permissions: Ensure you’re logged in
  • Check logs: System Logs → look for errors

Title/Description Not Auto-Generating

  • Check the URL is accessible: Some sites block automated requests
  • Check cron is running: Auto-generation happens in background
  • Set manually: Edit the link and add title/description yourself

Health Checks Not Working

  • Check cron is configured: See Post-Installation
  • Check System Settings: Ensure link checks are enabled
  • Check logs: System Logs → look for check errors

Wayback Machine Not Archiving

  • Wait: Archiving can take hours
  • Check robots.txt: Some sites block the Wayback Machine
  • Check cron is running: Archiving happens in background
